User settings

User settings enables efficient and secure management of access to the platform, process data and the forms provided. It ensures that authorised persons can only access the areas assigned to them.

User settings functions

The user settings offers various functions, here are some of them:

 

Integration service provider

The use of own or standardised service providers enables login both in the administration area (backend) and in the forms (frontend). LDAP, MS Entra, SAML and OpenID Connect are currently supported. Common systems for public administration such as BundID and ELSTER company account are also connected.

Two-factor authentication (2FA)

Ensure the security of access to the administration (formcycle backend) by implementing two-factor authentication. This supports both email and authenticator apps for added security.

Individual password policies

Use customised password policies to increase security. Customise the guidelines to your company's requirements and enforce strong passwords with a combination of upper and lower case letters, numbers and special characters. Regular password changes and the avoidance of easy-to-guess passwords are also important components of these guidelines.

Customised roles

Create highly granular user roles to optimise access control. Define different roles according to the specific tasks and responsibilities of your users. This makes it possible to assign access rights precisely and ensure that each user can only access the functions and data that are relevant to their role. This fine granularity increases security and minimises the risk of data misuse or unauthorised access.

User groups

User groups make it easier to manage user accounts and assign access rights. By organising users into groups, you can manage access permissions more efficiently and react quickly to changes. You can combine users with similar tasks or requirements into groups and then assign specific authorisations to these groups. This not only simplifies administration, but also increases security, as access rights can be assigned in a targeted and focussed manner.

User filter

User filters can be created by service providers such as LDAP, Microsoft Active Directory or SAML. They enable the assignment of roles and groups, which means that user administration can be completely externalised. This facilitates the administration of access rights and ensures that users can be managed efficiently according to their role and affiliation.
